Quartermaster

Quartermaster manages uniform and gear stock by category, item, and size. Role eligibility controls what members can see and request. Approving a request deducts stock, records the gear as issued, and notifies the member, and stock managers are alerted when a size runs low.

End-to-end workflow

Request, issue, and restock gear

  1. 1

Create categories, items with pictures, and sizes with on-hand counts, SKUs, and low-stock thresholds.

  2. 2

    Limit items to eligible roles.

  3. 3

Members browse eligible items and request a size and quantity.

  4. 4

Approvers approve or reject with a reason; approval deducts stock and records the issue.

  5. 5

Staff can issue gear directly with a stock check.

  6. 6

Process returns with optional restock and adjust stock with notes.

Common questions

Answers before you get stuck

Why can’t a member see an item?

Items limited to roles are hidden from members without those roles.

What happens when a request is approved?

Stock is deducted, the item is recorded as issued to the member, and the member is notified.

When should something be in Assets instead?

Use Quartermaster for stocked gear by size. Use Assets for individually tracked equipment with its own record.
