Understand roles, permissions, and feature access

The essential admin guide to granting exactly the access a member needs.

How effective access works

A role is a named set of permissions. A member can hold several roles, and their access is the combination of every permission those roles grant. Removing one role doesn’t remove access if another role still grants it.

Grant access to a feature

  1. Open Roles & Permissions under Organization.
  2. Create a role (from a template or by cloning one) or open an existing role.
  3. Find the module and grant the exact actions needed.
  4. Save, then assign the role to the member under Personnel.
Viewing is not enough for every task

Create, edit, approve, export, and settings actions are separate permissions.

Own records versus all records

Many modules separate a member’s own records from everyone’s. Grant the “own” permission without the “all” permission when a member shouldn’t see other people’s information.

Module availability and dependencies

A module must be included in your subscription and enabled under Settings → Modules before any role permission matters. Most modules need only Core. Station Board also needs Integrations and Time Clock.

Check what a member sees

Authorized administrators can use the logged “view as member” mode to confirm what a member’s roles allow.
