Prepare, approve, and issue a record
- 1
Create a record, choose its type and template, and set its confidentiality level.
- 2
Preview exactly what the member will read.
- 3
Submit it for approval when approval is required (on by default for plans, discipline, and leave).
- 4
The approver corrects it, approves and issues it, or sends it back with a note.
- 5
The member acknowledges receipt under My HR Records; an officer can record a refusal.
- 6
Run check-ins or the return-to-duty checklist, then close or archive the record.

Before your department relies on it
- 1
Decide which roles may prepare, approve, and view each confidentiality level.
- 2
Review templates before first use.
- 3
Keep approval on for plans, discipline, and leave unless policy says otherwise.
- 4
Remember terminations are not shared with the member by default because they are delivered in person.
- 5
Use legal hold when a record must not be deleted.
- 6
Use printed notices when a physical signature is required.

RequiredCoreAnswers before you get stuck
Can an admin see records about themselves?
No. Nobody sees records about themselves on the officer side, including super admins. Members read their own shared records under My HR Records.
Does acknowledging a record mean I agree with it?
Acknowledging confirms you received it. Ask your department how to add your own statement.
Does a termination record change the member’s account?
No. Disable the account separately under Personnel.
