Policy Library

A central repository for all department policies including SOPs, SOGs, and HR documents, with category filtering, status tracking, and version history in one place.

Policy Editor

Create and edit policy metadata, configure targeting (Everyone, Specific Roles, or Specific Users), and set the required completion method.

PDF Signer

Members view the policy PDF and place their signature, initials, and date in designated fields. All signatures are logged with timestamps.

Signature Field Editor

Admins define exactly where signature, initials, and date fields appear on each version of a policy PDF. No external software needed.

Compliance View

Track completion rates by policy, view individual member status, send reminders to incomplete members, and override or waive completion for specific cases.

My Policies

Each member's personal view of their assigned policies and completion status: Not Started, Viewed, Acknowledged, Signed, or Overdue.

Versioning

When a new version of a policy is published, new completion requirements are automatically triggered for all targeted members, including those who completed the previous version.

Flexible Requirements

Set one of three completion levels per policy: Read-Only (view tracking), Acknowledgement (checkbox confirmation), or Electronic Signature (PDF signature workflow).

Under the Hood

Key Concepts

Policies are assigned to the entire organization, specific roles, or specific individuals. Reassigning a policy to new members automatically triggers the completion requirement for them.

Policies move through Draft, Published, Archived, and Superseded stages. Members can only view and complete Published policies.

Each completion record is pinned to a specific version of the policy. When a new version is published, all previous completions are treated as incomplete for the new version, ensuring members always acknowledge the current document.
